Change Order AI

For small contractors

Get paid for every extra.

The customer asks for one more thing. You say yes. You do the work. Three weeks later nobody remembers agreeing to pay for it. Change Order AI closes that gap while you're still standing there.

“While you're in there, can you just…”

Extra work almost never fails because a contractor was too slow to invoice. It fails because nothing was written down at the moment it was agreed, and by the time there's a paper trail, there's also a disagreement. This app is one workflow, done properly: original scope → requested change → documented scope delta → price and time impact → customer approval → an invoice-ready record.

Four minutes on site beats four weeks of arguing.

Everything below happens on the jobsite, on one phone, usually before you've put your tools back down.

Describe it out loud

Live transcription turns your note into a structured draft — pulling out the quantities and hours you actually said, and quoting the exact words each one came from. Raw audio is never saved.

Show what you found

Photos, receipts, and captions stay attached to the change order with a content fingerprint, so you can show later that they're the originals and not something added after the fact.

Price it your way

Labor, materials, equipment, subs, permits, and credits. Your own rate book, sales tax, and overhead handled properly — including markup that never applies twice.

Compare it with the original scope

Import the estimate, proposal, or contract for the job. Scope Delta finds the lines that relate to the change and shows them side by side. You decide what each one means — the document prints your call, never a machine's guess.

Check it before you send it

Approval Readiness catches what actually stops change orders getting paid: no price, no schedule answer, vague wording with no boundary, a hidden condition with no photo. Blocking problems are separated from suggestions.

Sign on site, or send a link

Hand your phone over and it enters a restricted mode showing one document and nothing else — not your other jobs, not your other customers. Or send a secure link they approve from their own phone browser.

The AI writes it up. It never sets a price.

Every figure your customer signs comes from you or from your own rate book. This isn't a policy we promise to follow — it's how the app is built.

It has nowhere to put a number

The AI's response format has no field for a price, a total, or a schedule impact. Anything resembling one is stripped twice — once on our server, once on your phone.

It tells you what it doesn't know

Missing facts are listed as missing. The draft never quietly fills a gap with a plausible guess, because a plausible guess is the one you don't catch.

It shows its source

Every scope item and every Scope Delta finding carries the words it came from, so you can check it against what you actually said in a couple of seconds.

Your photos stay yours

Photographs are never sent to the AI provider — only captions you wrote yourself. Raw audio is never retained by us or by anyone we operate.

Basements. New construction. Rural jobs.

Creating, pricing, photographing, signing, and exporting a PDF all work with no connection at all. Remote sends wait in a queue and say so — the app never tells you a customer has it until the server confirms they do.

What they signed stays what they signed

A signature is tied to a fingerprint of the exact version your customer saw. Revise it later and the version they approved keeps its wording, its totals, and its signature, untouched, as a separate record.

A history that can't be quietly edited

Every event on a change order is hash-chained in order. Revision history shows what was superseded, by what, and when.

Nothing fails silently

Take a phone call mid-sentence, switch apps, run out of battery — your draft is exactly where you left it. If a save ever doesn't land, the app says so and keeps saying so until it does.

What's in it

One workflow, finished properly — rather than five that stop halfway.

  • Voice or typed capture with live transcription
  • Photos and receipts kept with a verifiable fingerprint
  • Fixed-price, T&M, credit, no-cost, and emergency authorizations
  • Labor, material, equipment, sub, permit, and credit lines
  • Your own rate book, with CSV import and export
  • Sales tax and overhead handled properly
  • Running contract total: original, approved changes, and where this one leaves you
  • Professional PDFs, plus an internal cost copy for yourself
  • Evidence packages with a manifest anyone can verify
  • Revision history showing exactly what was superseded and when
  • Follow-up reminders and invoice handoff
  • English and Spanish — the app and your documents chosen independently

Read that last one twice

A contractor who reads Spanish routinely sends English documents, and the reverse is just as common. The language of the app and the language of the document your customer receives are two separate settings, because tying them together forces one of those two people to read a language they don't.

If you cancel, nothing is locked

Every change order you've made stays readable, searchable, shareable, and exportable — forever. You can still write, price, and sign on your own phone. Nothing is deleted, hidden, or held hostage. That's built into the app, not promised in a footer.

Payment is charged to your Apple Account at confirmation of purchase. Subscriptions renew automatically unless auto-renew is turned off at least 24 hours before the end of the current period. Manage or cancel in your Apple Account settings. Prices are in U.S. dollars and may vary by region. See the Terms of Use (EULA) and Privacy Policy.

Questions

Does my customer need the app?

No — and they don't need an account either. They either sign on your phone, or they open a secure link in whatever browser is already on their phone.

Do I need an account?

No. Creating, pricing, signing, and exporting a change order all work on a fresh install with no account, no network, and no backend. Sign in with Apple is only needed if you turn on cloud backup — one tap, no password to invent.

Can the AI make up a price?

It can't. Its response format has no field for a price, a quantity total, or a schedule impact, and anything price-shaped is stripped on the server and again on the device. Every number on the document comes from you or your rate book.

What happens to my records if I stop paying?

Nothing. Every change order stays readable, searchable, and exportable, and you can still create, price, and sign on your phone. Export is never gated.

Does it work without signal?

Yes — that's the default assumption, not a fallback. Everything except sending a remote approval link works fully offline. Remote sends queue and tell you they're queued rather than pretending they've been delivered.

Is this a legal document?

Change Order AI documents and prices scope changes. It does not provide legal advice and cannot tell you whether an agreement is enforceable where you work. Electronic-signature and construction-contract requirements vary by state and country. Use wording your own attorney has approved for your business and location.

Is it available in Spanish?

Yes. The app interface and the documents your customer receives are each available in English or Spanish, and you choose them independently.

A note on language. This app documents and prices scope changes. It is not a substitute for legal advice, and it cannot tell anyone whether an agreement is enforceable in their jurisdiction. Electronic-signature and construction-contract requirements vary by state and country.
